TerraClose: Privacy Policy
Version 12
The short version
Your data is yours. A house you add is private to you: other users never see it, and it goes to Honeybird only when you press Honeybird Review or JV Submission. The small team that runs the deal desk can look at your data to run it, fix problems and improve the product and its AI, and we look at how the tools get used. The deal desk also learns from data combined across everyone who uses it, and anything that leaves the deal desk has your name and addresses taken out. None of that means working, buying or marketing a house you have not sent us. Nothing you do on your houses is posted to Honeybird's team channels. You can download your data and ask us to delete it from the Your data page. We do not sell your data.
1. What we collect
- Your account: your name, email, and the times you sign in.
- If you sign in with Google: Google gives us your name, email address and profile picture. We use them only to sign you in and show who you are. We never get your Google password, and signing in with Google does not let the deal desk read your Gmail, contacts, calendar or files.
- What you bring in: houses you add, with their address, numbers and notes, and anything else you type, paste or upload (photos, videos, documents).
- What you do on your houses: notes, offers, passes and the other steps you take.
- Deals you send us by email, text, our JV form, or the Honeybird Review or JV Submission button, with the price and message you sent.
- How you use the deal desk: which pages you open and when, what you click, how fast pages load, and recordings of your sessions on the deal desk (what was on the screen and what you did). We use them to improve the product, keep the deal desk working and secure, fix problems you report, and learn what to build and what to charge. Passwords, sign-in codes and the words of texts and calls are blanked before anything leaves your browser. Recordings are kept by our product analytics service (section 8) and in the deal desk's own storage.
- Who sends deals to an account you connect: when you connect an email or messaging account on the Connections page, new deals in it reach your desk automatically. To keep deal intake accurate and our records clean, we keep a record of who sends deals there (senders and suppliers: their name, email, phone and company). This record is Honeybird's, and we may use it to grow our own deal intake, inventory and relationships, for example by connecting with those senders directly. It never includes your private deal details, and your deals stay private unless you send or share them.
2. Who can see it
- You.
- The small team that runs the deal desk, to run it, keep it secure, fix problems, help when you ask, check its quality, and improve the deal desk and its AI. That can include looking at a single house, its photos and its AI results. They keep what they see confidential, and they never work, buy or market a house you have not sent us.
- Honeybird's deal team, only for a house you send with Honeybird Review or JV Submission, a deal you send us another way, a deal you share with us, or a house we share with you.
- Companies that help us run the deal desk (section 8), to do their job for us.
- Anyone the law requires, or when we need to protect our rights, our users or the deal desk.
- A new owner, if Honeybird or the deal desk is sold, merged or moved to a related company. Your data moves under this policy.
- Never other users. Your houses are walled off from everyone else who uses the deal desk.
The public facts about a property (its address, public records, listing photos) are the same for everyone who looks it up. What is yours is what you add to it.
3. Sharing switches (JV partners on My deals)
If you work with us as a JV partner on My deals, each switch is off until it is turned on, and you can turn any of them off at any time.
- Testing: we may look at your deals, read only, to test and improve the deal desk.
- Analysis: we work your deals: property lookups, comps and underwriting.
- Dispo: we may show your shared deals to our buyers.
We turn a switch on for you only with your clear permission: your own switch, or a written OK from you (email, text or signed form) that we keep on record with the date. Any change we make shows on your settings page, with who made it and when, and you can turn it off there.
4. Deals you send us
A deal you send us (by email, text, our JV form, or the Honeybird Review or JV Submission button), or a house you ask us to help with, is sent so we can work it, so it is shared with Honeybird from the moment you send it. Working it can include analyzing it, making offers, showing it to our buyers and JV partners, and sharing it with lenders, title and anyone else the deal needs. If you want limits, tell us when you send it or put them in a signed agreement.
5. What we never do
- Sell your data, or sell a deal you have not asked us to help with.
- Show your private houses to buyers, other users or anyone outside Honeybird.
- Post what you do on your houses to Honeybird's team channels (team chat, the daily roundup, team phone alerts).
- Contact anyone about a house you have not sent or shared with us.
- Name you or show your deals to anyone else when we use pooled data (section 6).
- Sell or share your mobile number or your consent to receive texts with any third party or affiliate for their marketing.
6. How the deal desk learns
The deal desk gets better by learning from what everyone does on it. We may:
- use your data, and data combined across everyone who uses it, to run, test, check and improve the deal desk and its AI and to build new features and products. This can include a single house, its photos, notes and AI results;
- take out names, contact details, addresses and anything else that points to you, a person or a specific house, and use what is left (pooled data) for any lawful business purpose, including publishing market numbers, helping Honeybird and its related companies run their businesses (for example, setting repair costs or reading a market), and sharing with partners.
We do not try to put pooled data back together, and anything we publish or share outside Honeybird is in a form that does not show one person's deal. Pooled data, what the deal desk has already learned from your data, and records of how the deal desk gets used belong to Honeybird and stay after you leave or delete your data. Learning from your data never means working, buying or marketing a house you have not sent us.
7. Records we keep
We log every change to your sharing switches, every time Honeybird opens one of your private deals through a Testing switch, and every request to download or delete your data. You can ask us for this log.
8. Outside services that hold your data
We use other companies to run the deal desk. Each holds only what it needs for its job:
- web hosting for the deal desk's pages;
- our database and file storage, which hold your houses, notes, numbers and uploads;
- sign-in (including Google, if you sign in with it) and the sign-in code emails;
- our property database and a background server, which look up and analyze each house you add;
- RAPI, for property records, values, liens and comps;
- property listing services, for listing details, photos and recent sales;
- AI services, which read photos, videos and text you paste in to rate condition, estimate repairs and pull out deal details;
- maps;
- a product analytics service, which counts page views and clicks and keeps the session recordings described in section 1;
- if you connect an email or messaging account, the service that connects it and reads its new messages so deals reach your desk (it keeps those messages until you disconnect);
- phone notification services, if you turn notifications on.
Email admin@honeybirdhomes.com for the current list of these companies. Each works for us under its own terms.
9. Your choices
From the Your data page (linked at the bottom of every page; on My deals it is on the Sharing with Honeybird card) you can:
- download your data: one file with the houses you added, your notes, your offers, passes and other steps, and the deals you sent us (photos, videos and documents stay on each house's page, where you can open and save them);
- ask us to delete all of your data.
JV partners can also turn sharing switches on and off there.
We delete within 30 days of your ask, except for what the law requires us to keep; what we need for our records, billing, security or a dispute; deals you sent or shared with us, which we may already be working; pooled data (section 6), which no longer points to you; and copies in our backups, which clear out on their normal schedule. If your access has ended, email admin@honeybirdhomes.com and we send the file, delete your data, or both, within 30 days. We keep your data at least 30 days after your access ends so you can ask; after that we may delete it.
10. Keeping it safe
Access is checked on every request, not just on the screen. You sign in with your Google account or a one-time code sent to your email, so there is no deal desk password to steal.
11. Text messages
This policy covers the TerraClose site (terraclose.com), the TerraClose app (app.terraclose.com), anyone who signs up there or leaves a phone number with us, and everyone using TerraClose. If you give us your mobile number and tick the box agreeing to texts (on terraclose.com, in a TerraClose sign-up form, or inside TerraClose), TerraClose texts you about your account and sign-in, the beta (invites, walkthrough reminders and product updates), and deal alerts you turn on. Message frequency varies. Msg and data rates may apply. Reply STOP to stop at any time, and HELP for help, or email admin@honeybirdhomes.com. Agreeing to texts is never a condition of buying anything. Mobile numbers and text messaging consent are never sold or shared with third parties or affiliates for their marketing. Terms: terraclose.com/terms. Privacy: terraclose.com/privacy.
12. Changes
When we change this policy, we put the new version in front of you to accept at your next sign-in. Once you accept a new version, it covers the data you already gave us too.
